BEAT is currently seeking a Programming Assistant to help support our organization’s growing and diverse initiatives.  Working closely with the BEAT Executive and our volunteers, the Programming Assistant will provide logistical and communication support to a variety of initiatives which include a mix of in-person and virtual events. Our current programming includes talks, workshops, seminars, networking events and social gatherings. We are committed to making high quality, accessible and relevant events open to all. We are a small, nimble, all hands on deck organization and the candidate will have the opportunity to meaningfully contribute to the many aspects of the programs we offer, while expanding their network within a creative and dynamic professional design conscious group. 

Work hours are flexible and will mostly be done remotely. Attendance at some in-person events and key meetings throughout the year will be required. All BEAT events are within downtown Toronto or transit-connected neighbourhoods. Given the nature of our events, some weekend and evening hours will be required. These events will be scheduled in advance. 

Responsibilities

You will be supporting the delivery of our virtual and in-person programs and events, from planning through to execution and analysis, as well as the ongoing operations of our organization. Your responsibilities will include:

  • Support the Executive Committee in creating and delivering BEAT events through communications and graphic support;

  • Provide back-end support for virtual and in-person BEAT programs and events such as setting up event pages, responding to inquiries, assisting in the communication of our programs, setup and maintenance of registration and event webpages, issuing of post-event certificates, coordinating with venues and caterers, among other tasks;

  • Provide in-person support at BEAT events when required, including event setup and takedown;

  • Update internal tracking documentation for event attendance;

  • Assist in the coordination of volunteer participation in BEAT initiatives;

  • Support administrative activities of our organization and assist in file management;

  • Assist in the maintenance and update of the BEAT website, including updating existing pages and participating in the development of new components.

  • Support social media team in the planning and creation of social media posts and other BEAT communications

  • Excellent writing and communication skills 

  • A collaborative team player who will pitch in to make sure things get done

  • Strong computer skills and the ability to learn new software platforms as needed

  • Previous experience with Eventbrite, social media, Mailchimp and WordPress a plus

  • An interest in architecture, the built environment and advocacy

  • Previous secretariat experience preparing agendas, minutes, etc. a plus

Compensation, Hours and Duration

  • Job Type: Part-Time, 5 – 10 hours a week, depending on timing of events
    Schedule: Flexible, some limited evenings and weekends required
    Hourly Wage: $23
    Location: Remote, attendance to limited in-person events and meetings required
    Start Date: Sept 1st (or earlier upon mutual agreement)
